1 Introduction

Welcome to Chapchap Couriers Ltd. These Terms and Conditions govern the provision of courier and delivery services by Chapchap Couriers Ltd ("we", "us", "our") to you, the customer ("you", "your").

By using our services, you agree to be bound by these Terms and Conditions. Please read them carefully before requesting any delivery service. If you do not agree with any part of these terms, please do not use our services.

We reserve the right to update these terms at any time without prior notice. The latest version will always be available on our website.

2 Definitions

  • "Consignment" means the item or items accepted by us for delivery.
  • "Delivery" means the successful handing over of the consignment to the recipient at the specified address.
  • "Business Day" means Monday to Saturday, excluding public holidays.
  • "Sender" means the person or company requesting the delivery service.
  • "Recipient" means the person or company to whom the consignment is addressed.
  • "Proof of Delivery (POD)" means confirmation of delivery including recipient's name, time, date, and signature or photo.
  • "Working Hours" means 8:00 AM to 6:00 PM, Monday to Saturday.

3 Our Services

Chapchap Couriers Ltd provides the following delivery services within the United Kingdom:

  • Same-day local delivery (Slough, Reading, Maidenhead and surrounding areas)
  • Greater London delivery
  • UK nationwide next-day delivery
  • Scheduled pickups for businesses
  • Bulk delivery services
  • Cash on delivery (COD) services

All services are subject to availability and our delivery schedule. Times quoted are estimates and not guaranteed unless specifically agreed in writing.

4 Acceptance of Terms

By requesting a delivery, you confirm that:

  • You are legally capable of entering into binding contracts.
  • You are at least 18 years of age.
  • The information you provide is accurate and complete.
  • You have the authority to act on behalf of the recipient if applicable.
  • You agree to these Terms and Conditions.

These terms constitute the entire agreement between you and Chapchap Couriers Ltd.

5 Prohibited Items

We DO NOT accept the following items for delivery:

  • Illegal substances or drugs
  • Firearms, weapons, or ammunition
  • Explosives or flammable materials
  • Toxic or hazardous chemicals
  • Perishable food items (without prior agreement)
  • Live animals or insects
  • Human remains or body parts
  • Stolen goods
  • Currency or negotiable instruments
  • Items with a value exceeding £500 (without insurance)

⚠️ If you send a prohibited item, you accept full liability for any consequences, and we reserve the right to dispose of the item without compensation.

6 Packaging Requirements

The sender is responsible for ensuring all items are properly and securely packaged to withstand normal handling during transit.

Packaging guidelines:

  • Use strong, durable boxes or envelopes appropriate for the item.
  • Protect fragile items with adequate cushioning (bubble wrap, foam, etc.).
  • Seal packages securely with strong packing tape.
  • Remove old labels or barcodes from reused boxes.
  • Clearly label with recipient's full address and postcode.
  • Include sender's return address on the package.

We reserve the right to refuse poorly packaged items or require repackaging before acceptance.

7 Delivery Terms

Delivery Attempts:

  • We will make up to 2 delivery attempts for standard deliveries.
  • If delivery fails after 2 attempts, the consignment will be held at our local depot.
  • You will be notified and can arrange redelivery (additional charges may apply).
  • If not claimed within 7 days, the consignment may be returned to sender (return charges apply).

Delivery Times:

  • Same-day local: 2-6 hours (book before 12 PM for guaranteed same-day)
  • Greater London: 4-8 hours
  • UK nationwide: Next business day (by 6 PM)

Times are estimates and not guaranteed. Factors affecting delivery include traffic, weather, and access restrictions.

Proof of Delivery:

Proof of delivery (POD) is available for all deliveries and includes recipient's name, date, time, and either signature or photo confirmation.

8 Pricing and Payment

Pricing:

  • Prices quoted are based on the information provided (size, weight, distance, urgency).
  • We reserve the right to adjust quotes if actual dimensions/weight differ from those provided.
  • All prices are in GBP (£) and include VAT where applicable.
  • Prices do not include insurance unless specifically purchased.

Payment:

  • Payment is required before or at the time of pickup unless credit terms have been agreed.
  • We accept: Cash, Bank Transfer, Credit/Debit Card, and Business Account billing.
  • For business accounts, invoices are payable within 14 days of receipt.
  • Late payments may incur interest at 4% above the Bank of England base rate.

9 Cancellation and Refunds

Cancellation by Customer:

  • Cancellations made before pickup: Full refund.
  • Cancellations after pickup but before delivery: 50% refund.
  • Cancellations after delivery attempted: No refund.

Cancellation by Chapchap Couriers:

  • We reserve the right to cancel any booking if items are prohibited or incorrectly declared.
  • If we cancel due to our error, full refund will be provided.

10 Liability and Insurance

Standard Liability:

  • Our maximum liability for loss or damage is limited to £50 per consignment unless additional insurance is purchased.
  • We are not liable for indirect or consequential losses.
  • We are not liable for delays caused by circumstances beyond our control.

Insurance:

  • Additional insurance can be purchased for items valued over £50.
  • Insurance must be arranged at the time of booking.
  • Insurance premiums are calculated at 2% of the declared value.
  • Maximum insured value per consignment is £2,500.
  • Proof of value may be required for claims.

Exclusions from Liability:

  • Normal wear and tear from handling.
  • Damage due to inadequate packaging by sender.
  • Items with inherent defects or fragility.
  • Loss or damage due to prohibited items.
  • Acts of God, terrorism, or civil unrest.

11 Claims Procedure

To file a claim for lost or damaged items:

  1. Notify us within 48 hours of scheduled delivery for non-delivery.
  2. For damaged items, notify us within 24 hours of delivery and retain all packaging.
  3. Provide photographic evidence of damage and packaging.
  4. Submit proof of item value (receipts, invoices, etc.).
  5. Claims must be submitted in writing to claims@chapchapcouriers.uk.

Claims will be processed within 14 business days of receiving all required documentation.

12 Data Protection

We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • We collect and process personal data only as necessary to provide our services.
  • Your data will not be shared with third parties except for delivery purposes or as required by law.
  • We retain delivery records for up to 6 years for legal and accounting purposes.
  • You have the right to access, correct, or request deletion of your personal data.

13 Business Accounts

Business account holders agree to additional terms:

  • Monthly invoicing with 14-day payment terms.
  • Minimum monthly spend may apply.
  • Scheduled pickups require 24-hour notice for changes or cancellations.
  • Business rates are subject to annual review.
  • Accounts may be suspended for non-payment.

14 Force Majeure

We shall not be liable for any failure or delay in performance caused by circumstances beyond our reasonable control, including but not limited to: acts of God, severe weather, natural disasters, war, terrorism, civil unrest, government actions, strikes, industrial disputes, pandemics, or failure of public infrastructure (roads, utilities, internet).

15 Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
